The Opportunity

We are seeking a Scales Manager to oversee the procurement, management, and distribution of traditional neuropsychological paper-and-pencil tests (scales) for global clinical trials. This role involves coordinating the electronic migration of assessments and collaborating with eCOA vendors, licensors, and translation vendors. The Scales Manager will be the primary contact for external vendors, including scales licensors and translation services. You will work closely with Cogstate Legal to secure necessary licenses and permissions for scale usage in industry-sponsored clinical trials.

This role requires a strong interest and experience in pharmaceutical development, a keen aptitude for legal, technical, and scientific information, and a driven individual capable of initiative and meeting tight deadlines. Extensive written and phone communication with Cogstate team members (USA, Australia, UK) and global third-party providers is expected.

Key Responsibilities

  • Manage and execute tasks in line with company SOPs and regulatory standards.
  • Maintain accurate, real-time records of all tasks, including updates to trackers and high-volume email/site communications.
  • Adapt to study changes, re-prioritize assignments based on study needs, and work independently.
  • Direct support staff, delegating tasks and ensuring quality and timely delivery.
  • Support Scale Managers with minimal oversight on assigned tasks.
  • Drive project tasks to ensure timely delivery of client deliverables.
  • Manage and deliver phase I-III clinical trials, tracking against the project SOW.
  • Periodic travel may be required for Investigator Meetings, conferences, partner meetings, and team meetings.
  • Conduct research and due diligence to identify scale source documents and supportive materials, assessing availability and costs.
  • Establish and maintain relationships with copyright holders and scale authors.
  • Procure applicable licenses and permissions, ensuring proper written agreements are in place with Cogstate Legal.
  • Train internal staff on permissions, scale usage, copyright notices, distribution limitations, and other requirements.
  • Oversee internal compliance with copyright agreements.
  • Report scale usage to copyright holders as per agreements.
  • Build strong working relationships with third-party providers.
  • Review, confirm, and track vendor work and invoices, reporting to Project Managers or Operational Delivery Leads for budget alignment.
  • Manage applicable deliverables across a portfolio of projects.
  • Create and maintain scale databases, libraries, and project-specific tracking tools.
  • Oversee the production of study-specific source documents and scale modifications, reporting changes to copyright holders as required.
  • Liaise with Clinical Science Leads, project team members, and sponsor teams for efficient source document creation, adhering to study timelines and protocol requirements.
  • Oversee the production and quality control of scale materials, such as study binders.
  • Liaise with Logistics staff to track and report the shipping and distribution of materials.

Requirements

  • BS/BA degree in psychology or a related scientific field.
  • 3-5 years of clinical trial experience.
  • Knowledge of intellectual property law.
  • Experience with copyright law is highly preferred.
  • Understanding of neuropsychological tests and patient or caregiver-reported outcomes.
  • Proficiency in Microsoft Office and general awareness of IT concepts and terminology.

Wage Range: $100,000 USD - $110,000 USD
