Administrative Assistant in a Law Firm
Position Overview
Inner Circle Agency is looking to fill a role in Montreal as an Administrative Assistant in a reputed law firm. This role will specifically support a lawyer within the trademark department.

Key Responsibilities
- Provide operational support to the existing team and administrative support to a team of dedicated and innovative professionals
- Manage electronic calendars proactively and efficiently, coordinate meeting logistics
- Drafting, checking and sending correspondence
- Communicate with clients as needed and follow up on their requests
- Perform scanning, saving and classifying documents in the digital document manager (DM)
- Produce expense reports
- Coordinate the payment of invoices from foreign correspondents with the accounts payable department
- Allocate time entries
- Ensure follow-up and communication with the various departments
- Open and monitor ongoing cases and gather relevant information
- To close files, including transfers and billing follow-up
- Perform all other related tasks
Required Qualifications
- Minimum of 5 years of experience in an administrative role supporting senior-level executives (e.g., VP, Director, or similar)
- Bilingualism in French/English (oral and written)
- Proficiency in Microsoft Office suite and Outlook
- Strong sense of customer service
- Proactive approach with the ability to anticipate needs
- Excellent organizational skills and attention to detail
- Ability to work autonomously and ensure timely execution of tasks
- Collaborative mindset with a strong commitment to quality and discretion
- Legal experience is considered a strong asset, particularly within trademark, but is not required
