In this role, you will act as a key operational and administrative partner within a fast-paced, growth-stage environment, supporting both leadership and the broader marketing function. You'll combine high-level executive support with hands-on coordination of marketing initiatives, playing a central role in keeping projects, communications, and processes running smoothly. This position offers strong exposure to cross-functional collaboration, working closely with teams such as Sales, Medical Affairs, Finance, and external partners. You will help drive alignment, organization, and execution as the team prepares for major milestones. With a blend of strategic support and operational delivery, this role is ideal for someone who thrives in dynamic settings and enjoys bringing structure and momentum to complex initiatives.
Accountabilities
- Provide comprehensive administrative support to senior marketing leadership, including calendar management, travel coordination, and expense reporting
- Prepare meeting materials, presentations, and executive-ready documents, ensuring leaders are well-prepared for internal and external engagements
- Coordinate logistics for meetings, including agendas, follow-ups, and stakeholder communications
- Support the execution of marketing initiatives, collaborating with internal teams and external agencies
- Assist with budget tracking, invoice processing, and financial coordination in partnership with finance teams
- Manage and organize marketing assets, templates, and documentation within content management systems
- Coordinate contracts, agreements, and purchase orders in collaboration with legal and finance stakeholders
- Support planning and execution of internal events, team meetings, and cross-functional updates
- Contribute to building scalable processes, tools, and workflows to improve team efficiency
- Assist with onboarding and operational support for new team members
Requirements
- 10+ years of experience in administrative support, marketing coordination, or a hybrid role
- Experience supporting senior executives with complex scheduling and operational needs
- Exposure to marketing, communications, or commercial functions; experience in regulated industries is a plus
- Strong organizational and multitasking abilities in fast-paced environments
- Excellent communication and interpersonal skills, with the ability to collaborate across teams
- High level of professionalism, discretion, and judgment when handling confidential information
- Proactive, detail-oriented mindset with strong follow-through and accountability
- Proficiency with Microsoft Office and collaboration tools (e.g., SharePoint or similar platforms)
- Ability to adapt quickly and contribute across evolving priorities
