What You'll Do
Student Enrollment & Onboarding (Primary Focus)
- Serve as the first point of contact for prospective students
- Manage enrollment documentation and onboarding processes
- Set students up in learning platforms (Teachable & Blackboard)
- Troubleshoot basic access issues and ensure a smooth start
- Coordinate hand-off to Student Services for ongoing support
Executive Administrative Support
- Partner closely with leadership, including the founder
- Manage communications using templates to ensure consistency
- Handle backend administrative tasks and workflow coordination
- Keep daily operations organized and moving efficiently
CRM & Data Management
- Maintain accurate student data in HubSpot
- Track enrollment progress, student status, and key metrics
- Support reporting needs tied to program performance and compliance
Digital Tools & Process Optimization
- Navigate across HubSpot, Microsoft Office, Teachable, and Blackboard
- Assist with process improvements and automation efforts
- Support a tech-forward, AI-integrated workflow environment
What We're Looking For
- 3 years of healthcare administrative experience (non-clinical, operational focus)
- Strong proficiency with Microsoft Office CRM systems (HubSpot preferred)
- Familiarity with healthcare/revenue cycle terminology
- Highly organized with strong multitasking skills
- Comfortable in a fast-paced, evolving, tech-driven environment
- Self-starter with the ability to work independently (fully remote)
Nice to Have
- Experience in both healthcare education/training environments
- Hands-on experience with Blackboard or HubSpot
- Knowledge of Revenue Cycle Management (RCM) concepts
- Comfort using AI tools and automation to streamline workflows
Schedule & Growth
- Part-Time: 20--25 hours per week (daytime hours)
- Growth Opportunity: Strong potential to transition into a full-time (40 hrs/week) role within ~6 months based on enrollment growth
