About the Role
The Logistics Support Specialist is a fully remote role that provides essential administrative and operational support to ensure efficient daily functions across the organization. This role will work closely with the Shipping & Logistics Manager to coordinate orders, manage communications, maintain digital records, and support field-based technician teams --- ensuring they have what they need, when they need it.
This role is suited to someone who thrives in a fast-paced remote environment, anticipates needs before they become problems, and takes pride in keeping operations organized and efficient.
- Work hours: 8:00 PM to 5:00 AM PHT / 8:00 AM to 5:00 PM ET
- Work arrangement: Remote
What you'll do
Communications & Administrative Support
- Manage emails, follow-ups, and phone communications on behalf of the manager while they are in the field or handling priority matters
- Support onboarding and offboarding processes, including setting up and deactivating accounts across platforms (e.g., USAbalancer, RingCentral, Microsoft 365)
Data, Reporting & Systems
- Create, maintain, and consolidate spreadsheets and tracking systems
- Maintain accurate digital records for fleet, inventory, and tool assignments
- Analyze data, generate reports, and identify process improvements to support better decision-making
Logistics & Inventory
- Place, track, and manage orders for tools, equipment, and consumables
- Resolve order delays or discrepancies with vendors in a timely manner
- Coordinate with vendors and internal teams to ensure technician needs are met consistently and on time
- Support logistics reporting and ongoing process improvement efforts
What You Bring
- Strong organizational and communication skills
- Comfortable working independently in a fully remote environment
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
- Familiarity with tools, equipment, or construction-related purchasing is a plus
- Strong time management skills with the ability to manage multiple priorities, prioritize shifting demands, and meet deadlines
- Detail-oriented and reliable with strong, proactive problem-solving skills and the ability to anticipate needs and prevent issues
- Ability to analyze data, generate reports, and identify process improvements to support better decision-making
- Experience with inventory management systems or asset tracking platforms is a plus
- Comfortable learning and adopting new software or internal systems quickly

- AI tools knowledge and a willingness to incorporate them into daily workflows (we actively use and explore AI to work smarter)
- This role operates on Eastern Time business hours (8:00 AM -- 5:00 PM ET)
- High school diploma or equivalent required
- Associate's or Bachelor's degree in Business Administration, Operations, Supply Chain, or a related field preferred
- Relevant training or certifications (e.g., Microsoft Excel, Microsoft 365, administrative support, or operations systems) are a plus
- Minimum 2 years of experience in operations support, administrative coordination, logistics, or a similar role
- Experience managing emails, follow-ups, and coordinating communication across multiple teams
- Experience maintaining inventory records, fleet tracking, or tool assignments across digital platforms
- Experience supporting field-based teams (technicians, service teams, or construction crews) preferred
- Experience consolidating and organizing information across multiple systems or teams for better visibility
- Ability to manage multiple priorities and support time-sensitive operational needs in a fast-paced environment
- Must be able to work remotely in a safe and quiet workspace. Must have reliable internet speed and connection
- Occasional availability for early or late meetings to support multiple time zones
- Minimal physical demands beyond standard office work
- Ability to sit for up to 8 hours a day
