Overview

A New York City-based software and services firm seeks an experienced, detail-oriented accounting professional for a part-time role (approx. 20 hours/week, flexible, fully remote). Reporting to the Controller, this position supports financial operations, including core accounting, billing, and light HR/benefits administration.

Key Responsibilities

Time & Project Accounting

  • Set up staff projects in QuickBooks and time tracking systems.
  • Review and ensure weekly time entry and approvals.
  • Reconcile time data between Workday, time tracking systems, and QuickBooks.
  • Investigate and resolve discrepancies with staff.

Billing & Revenue Management

  • Follow up on customer collections and outstanding invoices.
  • Prepare billing reconciliations across Purchase Orders, Workday reports, and QuickBooks invoices.
  • Identify and resolve billing variances.
  • Review Premium Services time and prepare related invoices and revenue entries.

Accounts Payable & Vendor Management

  • Review vendor bills and process payments.
  • Communicate with vendors to resolve billing/payment issues and request documentation.

General Ledger & Journal Entries

  • Prepare and post journal entries, including:
    • Deferred revenue schedules
    • Accrued revenue (cloud services)
    • Accrued payroll
    • Prepaid expense amortization
  • Record credit card transactions.
  • Maintain and update supporting schedules.

Financial Reporting

  • Prepare monthly financial summaries, including:
    • Balance Sheet
    • Profit & Loss
    • Cash Flow (as needed)

Additional Support

  • Assist with HR and benefits-related administrative tasks.
  • Handle ad hoc accounting and operational requests.

Qualifications

  • Bachelor's degree in accounting or finance.
  • 5 years of hands-on accounting experience.
  • Strong proficiency in QuickBooks Enterprise (desktop/on-prem).
  • Solid working knowledge of Microsoft Office (especially Excel).
  • Experience with Workday, HR, or benefits administration is a plus.
  • High attention to detail and accuracy.

Compensation & Benefits

  • Pay: $50.00 - $60.00 per hour
