Job Description
The Engineering Administrator supports the service department by managing incoming service requests from existing customers, coordinating internal resources, and ensuring timely and accurate completion of service activities. This role uses an ERP system to organize service tickets, create service orders, process purchase orders, and prepare quotes, while collaborating closely with technicians and technical teams to deliver a smooth and efficient service experience.
Responsibilities

Receive and review incoming service requests from existing customers through the ticketing system and ensure each request is accurately logged and organized.

Dispatch appropriate internal technicians and other required parties to address service requests in a timely manner.

Assess the urgency of service requests and escalate issues as needed, clearly communicating priority and requirements to internal teams.

Prepare and assemble quotes for internal technicians to be on-site, ensuring accuracy and completeness of all information.

Process purchase orders in the ERP system and verify that each purchase order matches the corresponding quote.

Create and maintain service orders in the ERP system, ensuring all relevant details are captured and updated as work progresses.

Confirm technicians have the necessary tools, equipment, and resources to complete service requests, including coordinating the scheduling and arrival of additional tools such as lifts.

Collect and organize documentation related to repairs and issues, ensuring all records are complete and properly stored.

Close out service tickets in the system once work is completed, ensuring all documentation, costs, and notes are accurately recorded.

Collaborate with field service, engineering, and other technical teams to support scheduling of field visits, audits, and ordering of parts as needed.

Maintain high standards of accuracy, organization, and follow-through to support a seamless service experience for customers and internal teams.
Essential Skills

3 years of experience in a role where worked with a technical team (Field Service, Engineering, etc.) to support technical requests (Ex: scheduling field visits/audits or ordering parts)

Work Environment
This role operates in a hybrid work environment, with three days on-site and two days working from home each week. During the initial training period of approximately one to two months, the position will require more frequent on-site presence to support onboarding and learning. Standard working hours are typically from 8:00 a.m. to 5:00 p.m. The position is office-based when on-site and involves extensive use of an ERP system, including IFS, along with other standard office and ticketing tools. The organization offers six paid holidays and one week of paid time off during the contract period, contributing to a supportive and balanced work setting.

This is a Contract to Hire position based out of Grand Rapids, MI.
Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr.
