Position Overview
A mid-sized law firm is seeking an experienced Legal Secretary to provide comprehensive administrative and document support to a team of attorneys. This full-time role includes a hybrid work schedule following the initial training period.
The Legal Secretary will support multiple attorneys with a wide range of administrative, organizational, and document production tasks. The position requires strong judgment, excellent attention to detail, and the ability to manage competing priorities in a fast-paced environment.
Responsibilities
- Provide daily administrative and secretarial support to assigned attorneys.
- Draft, revise, and proofread documents, correspondence, memoranda, and related materials.
- Assist with preparing materials for meetings, hearings, and other legal proceedings.
- Handle electronic and physical filing of documents with courts or administrative bodies.
- Maintain organized electronic case files and administrative records.
- Manage attorney calendars, including meetings, deadlines, and important dates.
- Review incoming mail and route items appropriately.
- Assist with time entry and coordinate with billing personnel to support timely invoicing.
- Open new matters and track related administrative details.
- Prepare check requests and coordinate vendor payments as needed.
- Assist with travel arrangements and prepare expense reimbursements.
- Provide backup support to other administrative staff during absences.
- Work occasional overtime when required.
- Perform additional administrative duties as assigned.
Qualifications
- High school diploma required; additional education preferred.
- Extensive experience (typically 7 years) as a legal secretary or legal administrative professional.
- Experience supporting senior-level attorneys is highly valued.
- Strong writing, proofreading, and communication skills.
- Ability to manage multiple deadlines and maintain organization in a high-volume environment.
- Demonstrated ability to work independently while also collaborating effectively with a team.
- Proficiency in Microsoft Office and Adobe Acrobat.
- Familiarity with legal technology tools such as document management systems, time entry software, and calendaring programs.
