Job Overview
Location: Dallas, TX 75202
Salary/Payrate: $70K-$90K annually + bonus and excellent benefits
Work Environment: 90 days ONSITE, then 1 day per week work from home
Term: Permanent / Full-time
Referral Fee: AMS will pay $500 if your referral is hired
Position Summary
We are seeking a Litigation Legal Administrative Assistant to join our law firm client's team. This role provides direct support to attorneys and contributes to the efficient and professional operation of the firm. The ideal candidate is detail-oriented, highly organized, proactive, and able to thrive in a fast-paced environment.
Key Responsibilities
Document Preparation and Management
- Prepare, revise, and format complex legal documents (pleadings, discovery, briefs) using advanced Word features.
- Draft correspondence, memoranda, and standard legal documents.
- Assist with filings, closings, notebooks, and exhibits.
- Experience filing in state and federal courts using Pacer, Texas eFile, or equivalent systems.
- Transcribe dictation and proofread documents for grammar, accuracy, and consistency.
- Organize and maintain electronic and physical client files.
Administrative Support
- Manage attorney calendars, deadlines, and reminders.
- Coordinate meetings, conference calls, and videoconferences.
- Handle time entry, billing memos, reimbursements, and expense reports.
- Review and route incoming/outgoing mail.
- Answer, screen, and route telephone calls.
- Assist with travel arrangements and presentation materials.
Client Service
- Greet clients and visitors professionally.
- Prepare client meeting materials and update contact lists.
- Maintain strict confidentiality of attorney-client and firm information.
- Communicate effectively with all internal and external parties.
Technology and Software
- Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) and legal software (iManage, Workshare Compare, Innova, Best Authority, iTimekeep).
- Participate in in-house training to maintain technical proficiency.
Qualifications
Education and Experience
- High school diploma or equivalent required; additional education preferred.
- 2-4 years of legal administrative experience in a law firm setting preferred.
Skills and Abilities
- Proficiency in Microsoft Office and legal software.
- Ability to produce and format complex legal documents accurately.
- Employment Law experience strongly preferred.
- Typing speed of at least 70 WPM with high accuracy.
- Strong written and verbal communication skills.
- Excellent proofreading and attention to detail.
- Ability to manage competing priorities in a fast-paced environment.
