Position Overview
A mid-sized law firm is seeking an experienced Real Estate Legal Secretary to provide comprehensive administrative and document support to a team of attorneys. This full-time position includes a hybrid work schedule following the initial training period.
The Real Estate Legal Secretary will support attorneys handling a variety of transactional and business-related matters. The role requires strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, dependable, and comfortable handling confidential information.
Responsibilities
- Provide daily administrative and secretarial support to assigned attorneys.
- Draft, revise, and proofread correspondence, memoranda, and other written materials.
- Assist with coordinating and preparing materials for meetings, conference calls, and transactional discussions.
- Review incoming mail and route items appropriately.
- Maintain organized electronic files and administrative records.
- Manage attorney calendars, including meetings, deadlines, and important dates.
- Assist with time entry and coordinate with billing personnel to support timely invoicing.
- Open new matters and track related administrative details.
- Prepare check requests and coordinate vendor payments as needed.
- Assist with travel arrangements and prepare expense reimbursements.
- Support the preparation of closing binders, closing checklists, and other transactional documentation.
- Provide backup support to other administrative staff during absences.
- Work occasional overtime when required.
- Perform additional administrative duties as assigned.
Qualifications
- High school diploma required; additional education preferred.
- Significant experience (typically 3-8 years) as a legal secretary or legal administrative professional.
- Experience supporting attorneys in real estate, transactional, or business-related matters is highly valued.
- Paralegal training or certification is a plus but not required.
- Strong writing, proofreading, and communication skills.
- Ability to manage multiple deadlines and maintain organization in a high-volume environment.
- Demonstrated ability to work independently while also collaborating effectively with a team.
- Proficiency in Microsoft Office and Adobe Acrobat.
- Familiarity with legal technology tools such as document management systems, time entry software, and calendaring programs.
- Strong client service orientation and professional demeanor.
