Business Operations Manager

Location: Remote; Florida candidates strongly preferred, ideally South Florida

Compensation: $75,000 to $95,000 base + performance bonus, depending on experience

Role Description

We are looking for a highly organized, proactive, and detail-oriented Business Operations Manager to run the day-to-day operations of the firm. This is a high-trust, high-responsibility role working directly with the firm's founder. You will be responsible for making sure the business side of the firm runs smoothly, including billing, collections, administrative workflows, team coordination, client onboarding, and related operational matters. This role is ideal for someone who takes ownership, solves problems, follows through, and wants to grow into a long-term operations role.

Key Responsibilities

Billing & Financial Operations

  • Manage monthly billing processes using QuickBooks and Clio
  • Oversee invoicing and ensure timely delivery to clients
  • Track accounts receivable and proactively follow up on outstanding invoices
  • Coordinate with accounting and assist with financial tracking and reporting

Firm Operations

  • Ensure attorneys are entering time correctly and consistently
  • Manage and improve internal workflows and processes
  • Keep day-to-day operations running smoothly across the firm
  • Maintain organized internal records, checklists, and process documentation

Client & Administrative Support

  • Coordinate client onboarding, including engagement letters, forms, and related administrative steps
  • Assist with client-related administrative requests, including security questionnaires
  • Manage firm insurance matters, including annual malpractice insurance renewals and related documentation
  • Help maintain accurate client, matter, billing, and operational records

Team Coordination

  • Work closely with internal team members, including administrative staff
  • Serve as the operational point person for day-to-day issues
  • Help keep projects and recurring workflows moving

Executive Support

  • Provide executive and personal support to the founder as needed
  • Help manage priorities, follow-ups, and key tasks

What Success Looks Like

  • Billing runs smoothly and on time each month
  • Accounts receivable is actively managed and under control
  • The founder is not pulled into routine operational issues
  • The team operates efficiently with clear processes and minimal friction
  • Problems are identified and solved proactively

Qualifications

Required

  • Strong, hands-on QuickBooks experience
  • Excellent organizational and project management skills
  • Strong attention to detail
  • High level of ownership, reliability, and accountability
  • Ability to manage multiple priorities independently
  • Strong written and verbal communication skills

Nice to Have

  • Experience in a law firm or professional services environment
  • Familiarity with Clio or similar billing/timekeeping systems
  • Experience supporting a business owner, founder, or executive
