Operations Coordinator

Full-Time Hybrid or Remote Opportunity Based in Onalaska, WI

Ensemble Performing Arts is seeking a highly organized, proactive Operations Coordinator to support the President of Schools in a fast-paced, mission-driven environment. This role blends executive support, project coordination, operational organization, and strategic follow-through to help move key initiatives forward across a growing national arts education organization.

This position is based in Onalaska, WI and offers the flexibility to work from home while remaining connected to our local team. The successful candidate should live within reasonable driving distance of Onalaska and will have access to office space whenever desired. A variety of in-person meetings, collaboration sessions, and special events will be part of the role.

Key Responsibilities

  • Provide high-level executive and operational support to the President of Schools as a trusted partner.
  • Manage calendars, coordinate meetings, resolve scheduling conflicts, and prepare supporting materials.
  • Track priorities, organize follow-through, and help ensure projects and initiatives continue moving forward.
  • Prepare, edit, and organize presentations, reports, dashboards, spreadsheets, and strategic documents.
  • Coordinate travel, lodging, itineraries, and track related expenses.
  • Attend meetings as needed, capture notes, track action items, and assist with follow-up coordination.
  • Support operational reporting, dashboard maintenance, and organization of key business metrics.
  • Coordinate across departments, leaders, vendors, and external partners to streamline communication and execution.
  • Assist with special projects, events, trainings, and cross-company initiatives.
  • Provide light personal executive support, including scheduling, logistics coordination, gifts, reservations, and other overflow tasks as needed.
  • Maintain confidentiality and exercise excellent judgment with sensitive information.

About You

  • 3--7 years of experience in executive support, operations coordination, project coordination, business administration, or similar roles.
  • Highly organized with exceptional follow-through and attention to detail.
  • Strong written and verbal communication skills.
  • Comfortable managing multiple priorities in a fast-moving environment with changing needs.
  • Able to work independently, anticipate needs, and proactively solve problems.
  • Strong technology skills, including Microsoft Office, Google Workspace, spreadsheets, and project management platforms.
  • Experience with project management systems such as Monday.com, Asana, or similar platforms strongly preferred. A high level of comfort organizing workflows, tracking priorities, and building operational structure is essential.
  • Comfortable building and maintaining reports, trackers, dashboards, and presentations.
  • Candidates who naturally align with the EOS® Integrator profile and enjoy turning ideas into organized execution will thrive in this role.
  • Professional, adaptable, and solutions-oriented.
  • Able to balance structure with flexibility and ambiguity.
  • Experience supporting founders, executives, schools, nonprofits, arts organizations, or mission-driven businesses is a plus.
  • Bachelor's degree preferred but not required. Equivalent experience will absolutely be considered.

Compensation & Benefits

This is a full-time position with a salary range of $48,000 - $52,000 per year depending on experience.

This position offers significant flexibility and may be hybrid or remote for the right candidate, but a variety of in-person meetings, collaboration sessions, and special events will be part of the role and most will occur in Onalaska, WI. Ensemble values responsibility, responsiveness, and ownership over rigid schedules.

Individuals in this role will be eligible for PTO in accordance with Ensemble policies. Ensemble offers Health, Vision, & Dental benefits to all full-time employees, and all employees are eligible for a 401K with employer match after 90 days of employment.
