Overview

GovCIO is currently hiring for a Program Operations and White Glove Analyst who provides high-level operational and administrative support across multiple programs and teams supporting the VA. This role is responsible for coordinating program deliverables, supporting executive and client-facing reporting, maintaining accurate program documentation and resource tracking, and ensuring operational activities are executed efficiently and effectively. The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced government contracting environment. This role is fully remote.

Responsibilities

Program Operations Support

  • Coordinate and manage weekly, monthly, and quarterly deliverables to ensure timely and accurate submission of program documentation, reports, and operational materials.
  • Proactively collaborate with Program Managers and Partner Managers to ensure program information, staffing data, reporting metrics, and operational documentation are accurate, complete, current, and aligned with program requirements.
  • Facilitate travel coordination and approval processes by collaborating with the VA COR and internal stakeholders.
  • Track, monitor, and ensure completion of required TMS training courses for team personnel to maintain compliance standards.
  • Maintain and update SharePoint, Airtable, and other tracking systems to support accurate recordkeeping, resource management, reporting, and team collaboration.
  • Assist in drafting Level of Effort (LOE) documents, administrative documentation, operational communications, and other program support materials as needed.
  • Support staffing coordination and personnel tracking activities to ensure program data and records remain current and accurate.
  • Provide cross-functional program support by adapting to evolving team needs and contributing to special projects, operational initiatives, and process improvement efforts.

White Glove Support Responsibilities

  • Maintain and manage executive-level "white glove" schedules, deliverables, and reporting timelines to support leadership and client-facing operations.
  • Update financial, operational, and staffing presentation materials to ensure accuracy, consistency, and timely distribution.
  • Review, revise, and maintain current organizational charts and staffing documentation across supported programs.
  • Publish and maintain updated files, reports, and presentations within designated repositories, SharePoint sites, and collaboration platforms.
  • Ensure high-visibility deliverables and executive materials are professionally formatted, accurate, and aligned with organizational standards.
  • Coordinate closely with Program Managers and Partner Managers to validate reporting information, staffing updates, and operational data prior to distribution.
  • Attend meetings, capture detailed meeting notes, document action items and decisions, and track follow-up activities to ensure timely completion and accountability across teams and stakeholders.
  • Provide responsive, detail-oriented support for executive requests, priority deliverables, and time-sensitive operational initiatives.

Qualifications

Required Skills and Experience

  • Bachelor's degree or equivalent combination of education and relevant experience.
  • 3 years of experience in program coordination, administrative support, operations support, or project management support.
  • Experience supporting government contracts and/or federal clients preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including PowerPoint, Excel, Word, and Outlook.
  • Experience using SharePoint, Airtable, or similar collaboration and tracking platforms.
  • Strong attention to detail and commitment to accuracy and quality.
  • Ability to work independently while collaborating effectively across teams and stakeholders.

Preferred Skills and Experience

  • Familiarity with TMS training compliance tracking.
  • Experience preparing executive-level presentations and operational reporting materials.
  • Ability to manage sensitive information with professionalism and discretion.
  • Experience supporting fast-paced government or client-facing operational environments.

Clearance Required: Ability to obtain and maintain a Suitability/Public Trust clearance.

Posted Salary Range

USD $75,000.00 - USD $80,000.00 /Yr.
