Position Details

Location: Remote from Latin America

Position Type: Full-time

Salary: $1,300 -- $1,700 USD/month (Based on experience)

Schedule: Full-time, Monday -- Friday. Must be available during US business hours (Central Time zone alignment preferred).

Our Client is an established, customer-centric heating and air conditioning (HVAC) enterprise based in the United States. Dedicated to providing premium residential and commercial climate control services, they rely on clean logistics, seamless technician communication, and elite call handling to serve their community. They operate with a fast-paced, high-volume service model and heavily leverage modern field-service management technology to keep their on-site operations fully optimized.

The Role

Our Client is seeking a personable, professional, and highly organized Client Service & Dispatch Virtual Assistant to serve as the critical first point of contact for their customer base. This is an active, phone-heavy operational role that combines rapid response, scheduling logistics, and inbound pipeline management. The successful candidate will navigate field workflows, gather accurate technician intake variables, and maintain dynamic calendars within specialized field-service software to ensure a five-star client experience from the initial ring through to job completion.

Key Responsibilities

Inbound Customer Service & Call Management

  • Answers high-volume inbound customer phone calls professionally, courteously, and with an empathetic tone.
  • Manages ongoing customer inquiries across multi-channel communication systems, including phone, email, text message, and VoIP applications.
  • Follows established intake procedures, scripts, and service workflows to accurately diagnose client needs.
  • Resolves customer friction points calmly and maintains a highly polished professional image during busy seasonal surges.

Dispatch Logistics & Calendar Architecture

  • Schedules service appointments and coordinates the real-time dispatching of field technicians.
  • Dynamically creates, alters, and logs customer records and service histories inside Housecall Pro.
  • Updates internal operation spreadsheets and simple tracking files to support inventory and tech tracking.
  • Coordinates closely with internal dispatch leads and on-site field technicians to preserve operational continuity.

Qualifications, Skills, and Key Competencies

Required / Non-Negotiable

  • Experience: 2--3+ years of professional experience within a high-volume Customer Service, Call Center, Virtual Assistant, Receptionist, or Dispatching workspace.
  • Language: Superior written and verbal English communication skills, complete with strong phone presence and active listening capabilities.
  • Technical Setup: Candidate-owned modern computer equipment capable of running multiple business applications simultaneously, a high-quality noise-canceling headset, and a stable, high-speed internet pipeline.
  • Workspace: A completely quiet, dedicated remote home-office environment free of background disruptions.
  • Operational Adaptability: Proven capability to work independently in a fully remote infrastructure while managing competing time-sensitive priorities.

Nice-to-have

  • Prior industry experience within HVAC, plumbing, electrical, construction, roofing, or adjacent residential/commercial field home services.
  • Hands-on proficiency using Housecall Pro, ServiceTitan, Jobber, or identical field-service management platforms.
  • Prior experience routing team variables through integrated cloud CRM architectures and VoIP business phone interfaces.
  • Working comfort inside a shared Microsoft 365 computing environment.
