Role Details

  • Location: Remote from Latin America
  • Salary: $3,500 -- $4,000 USD/month (Open to a performance bonus tied to clear execution metrics once fully ramped)
  • Schedule: Monday -- Friday, 8:30 AM -- 5:30 PM US Eastern Time (ET). As a senior executive role, the candidate enjoys autonomous schedule management with no fixed or rigid lunch blocks.

Position Overview

Our Client is a fast-moving, lean, and founder-led digital health and online education platform dedicated to helping adults---specifically focusing on women over the age of 60---comprehend, navigate, and thrive with ADHD through specialized coaching frameworks and digital programs. Driven by an active, numbers-first, and results-oriented culture, the organization strips away corporate fluff in favor of absolute execution, radical ownership, and strict follow-through. They are rapidly scaling their remote infrastructure to meet high consumer demand across North America.

The Role

Our Client is seeking a high-judgment, uncompromising Executive Business Partner (EBP) to serve as the absolute right hand and operational force multiplier to the founder/CEO. This is a senior, strategic-execution seat---not a junior or task-only administrative assistant role. The primary objective is to dissolve operational bottlenecks by serving as the ultimate gatekeeper of project closure. The successful candidate will own tasks end-to-end, manage up to protect the CEO's cognitive bandwidth, insulate leadership from unvetted team outputs, and systematically close open loops across the entire business ecosystem.

Key Responsibilities

Execution-Closure & Project Control

  • Takes total ownership of tasks, corporate initiatives, and cross-functional projects, moving them autonomously from "assigned" to absolute "done" without requiring executive chasing.
  • Closes all operational loops, ensuring every project state concludes in a clear, visible status log (Complete, Explicitly Blocked, or Awaiting Vendor response).
  • Coordinates day-to-day business task queues alongside a fractional Operations Partner and the existing remote team to preserve momentum.

Quality Control & Proactive Surveillance

  • Reviews, refines, and tightens all internal team deliverables, text assets, and operational summaries before they are surfaced to the founder.
  • Catches dropped process steps, flags slipping operational metrics, and implements immediate, proactive solutions before deficiencies impact client pipelines.
  • Maintains, audits, and updates the organization's library of Standard Operating Procedures (SOPs), corporate trackers, and database records.

Executive Optimization & Upward Management

  • Optimizes and protects the CEO's daily schedule, managing high-volume email inboxes, coordinating calendar links, and routing backlog items strategically.
  • Manages up effectively, keeping the founder organized, pushing back constructively on unrealistic timelines, and highlighting daily priority tasks.
  • Preserves a steady, highly organized execution structure across the business, even during rapid, highly dynamic, or high-volume launch cycles.

Qualifications, Skills, and Key Competencies

Required Qualifications

  • Executive Trajectory: 5+ years of dedicated professional experience operating as a Senior Executive Assistant, Executive Business Partner, or Chief of Staff directly supporting a founder, CEO, or high-velocity corporate executive at a judgment level.
  • Language Dominance: Near-native, flawless written and verbal English communication habits, with the confidence to communicate direct, high-stakes operational adjustments concisely.
  • Technical Infrastructure Mastery: Advanced technical familiarity operating across remote async project management layouts, digital asset maps, and communication ecosystems.
  • Workplace Footprint: Ownership of a highly reliable, distraction-free remote home office configuration, a modern computer setup, and a stable, high-speed internet connection.

Preferred Qualifications

  • Prior background supporting a neurodivergent (e.g., ADHD) executive, or direct operational experience working within an online coaching, info-product, EdTech, or digital subscription business model.
  • High software fluency navigating our specific tech stack: Google Workspace, Slack, HubSpot CRM, Notion documentation bases, Calendly, and Airtable relational matrices.
  • Demonstrated experience acting as the primary quality-control filter or workflow coordinator for a small remote team.
