The Role
Our Client is looking for a Junior Production Manager to support daily operations by serving as a central hub for communication and scheduling. This is a highly responsive role that requires a professional capable of managing phone lines, live chats, and complex calendars simultaneously. The successful candidate will ensure that no client inquiry or appointment falls through the cracks, acting as the primary support layer to maintain operational continuity when team members are unavailable.
Key Responsibilities:
Communication & Channel Management
- Ensures phone lines are consistently covered during business hours, acting as the primary backup for incoming calls to prevent voicemails.
- Manages live chat systems daily, providing timely and professional responses while adhering to standardized messaging guidelines.
- Coordinates with team members to ensure seamless communication handoffs and continuous coverage across all platforms.
Calendar & Appointment Coordination
- Schedules and manages appointments in strict alignment with team capacity and operational guidelines.
- Balances various appointment types to prioritize revenue-generating activities and ensures equal distribution across the team.
- Proactively confirms appointments in advance and conducts immediate follow-ups via call and text for clients who are late.
- Maintains real-time accuracy of calendar records, reflecting changes and updates instantly to ensure team-wide visibility.
Operational Flow & Coverage
- Provides flexible coverage for team members based on shifting scheduling requirements to ensure zero downtime.
- Coordinates closely with the internal team to maintain a consistent workflow across all service functions.
- Monitors daily operational patterns to ensure appointments are appropriately slotted for maximum efficiency.
Required Qualifications
- Communication: Excellent verbal and written English skills; comfortable managing multiple communication channels (Phone, Chat, Email) simultaneously.
- Organization: Strong organizational and multitasking skills with high attention to detail and data accuracy.
- Aptitude: Ability to work effectively in a fast-paced, highly structured remote environment.
- Reliability: A proven track record of accountability and the ability to follow rigorous processes without constant supervision.
