Job Summary

The Senior Development Operations Analyst plays a crucial role in supporting KQED's Major Gifts, Grants and Foundations, and Planned Giving teams. This position involves managing and optimizing the organization's donor database, supporting philanthropy campaigns, and ensuring accurate data collection and entry. The analyst will provide data insights to inform fundraising strategies, generate reports, and maintain data integrity. This is a hybrid role, requiring three days a week in the San Francisco office and two days remote, with increased in-office availability during the year-end fundraising period.

Key Responsibilities

Data Management & Maintenance

  • Manage and maintain the Development donor database, ensuring accuracy of donor records, membership status, renewal dates, gift payments, and pledge tracking.
  • Conduct regular data audits for integrity, including cleansing, de-duplication, and updating contact information.
  • Process complex transactions for grants, stocks, and estate gifts, including pledge entry and payment tracking.
  • Collaborate with the Director of Operations to close gift transaction batches and process deposits.
  • Track and reconcile Challenge gifts in coordination with Major Gifts and Membership teams.

Monthly Renewals

  • Produce monthly fundraising renewal letters in partnership with Major Gift Officers.
  • Assist with mailings, including merges, printing, stuffing envelopes, and generating labels.
  • Prepare spreadsheets for mail merge projects and create/distribute tax letters and other donor information.

Data Analysis & Reporting

  • Assist the Director of Operations in updating monthly dashboards and extracting CRM data for tracking revenue, goals, and metrics.
  • Support campaign data tracking and dashboard creation.
  • Analyze Major Donor data to identify trends, opportunities for growth, and improved donor engagement.
  • Generate regular and ad hoc reports on donor retention, acquisition, giving trends, and performance.
  • Segment donor lists for targeted communications, appeals, and stewardship.

Fundraising Support

  • Provide data-driven insights to inform fundraising strategies, planning, and donor cultivation.
  • Collaborate with development officers to analyze the performance of portfolios and initiatives.

Systems Optimization

  • Support the acquisition, implementation, and modification of new analytics tools.
  • Optimize Major Donor database systems for performance, scalability, and reporting needs in collaboration with the Director of Operations and Membership team.
  • Troubleshoot database issues and collaborate on system upgrades, integrations, and process improvements.
  • Stay updated on industry best practices and emerging technologies in database management and fundraising analytics.

Collaboration & Training

  • Collaborate with the fundraising team to understand data needs and provide resources.
  • Ensure fundraising teams adequately use the database and are comfortable with data entry and reporting.
  • Work closely with the Finance team to reconcile donations and ensure financial data accuracy.
  • Track grant deliverables with the Foundations and Grants team.
  • Create presentations for leadership and the KQED Board using PowerPoint, Excel, and data visualizations.

Compliance & Security

  • Ensure all Major donor data complies with data protection regulations and organizational policies.
  • Implement security protocols to safeguard sensitive donor information.
  • Support annual audits by providing necessary documentation and reports.

Qualifications

  • Bachelor's degree in business administration, data analytics, computer science, information systems, or a related field.
  • 4 to 5 years of experience with donor databases in a nonprofit setting (Raiser's Edge, Salesforce, or similar CRM experience preferred).
  • Strong analytical skills in data management, reporting, and trend analysis.
  • Proficiency in Microsoft Excel, data visualization tools, pivot tables, and VLookups.
  • Understanding of fundraising and donor stewardship processes.
  • Knowledge of SQL or other programming languages.
  • Strong communication and collaboration skills.
  • Experience with data protection regulations (GDPR, CCPA) and nonprofit compliance.
