Job description
Key Responsibilities
- Coordinate the procurement, setup, and shipping of laptops, monitors, peripherals, and other equipment for remote employees.
- Manage equipment inventory, tracking, and returns during employee onboarding and offboarding.
- Manage relationships with office vendors (equipment suppliers, shipping carriers, software providers, etc.), negotiating pricing as needed.
- Process vendors, track expenses, and ensure timely payment.
- Order and distribute office supplies, branded materials, and home office stipend items for remote team members.
- Maintain organized digital filing systems for vendor contracts, equipment logs, and operational documentations.
Requirements
- Previous experience in office services, facilities coordination, operations, support, or related administrative role is preferred.
- Impeccable attention to detail with the ability to manage multiple priorities, track inventory, and maintain order in a remote environment.
- Experience coordinating with external coordinators, managing contracts, and processing invoices is a plus.
- Proficiency in Microsoft Office Suite or Google Workspace.
- Excellent written and verbal communication skills with the ability to interact professionally with vendors, employees, and leadership.
- Resourceful and solutions-oriented with the ability to anticipate needs and address challenges proactively.
- Ability to work independently in a remote environment, manage your time effectively, and take ownership of tasks from start to finish.
