Senior Microsoft Exchange Specialist (Part-Time / Contract)

Job Summary

We are seeking an experienced Microsoft Exchange Specialist to provide critical fractional support for our client's highly customized hybrid Exchange On-Premises and Exchange Online (EXO) environment. Currently, the environment relies on a single internal expert. This role will serve as a vital backup, handling escalated issues, modernizing documentation, and ensuring the ongoing health, security, and reliability of the messaging platform.

This role is ideal for a seasoned technical architect or engineer who excels at jumping into complex, well-documented environments, troubleshooting advanced mail flow issues, and mentoring broader IT teams.

Key Responsibilities

• Escalation & Support: Act as the primary escalation point for complex messaging requests from the service desk and executive assistants.
• Platform Operations & Maintenance: Perform routine maintenance, including monthly server update checks, health monitoring, and troubleshooting hybrid connectivity and mail flow issues. Handle basic Windows Server infrastructure management (e.g., resolving full disk drives).
• Documentation & Knowledge Transfer: Update runbooks, review observability and monitoring postures, and brief internal staff to empower the broader IT team to effectively respond to standard tickets.
• Certificate & PKI Management: Manage the full lifecycle of internal CAs and third-party certificates (e.g., DigiCert) across mail relays and edge transport servers, ensuring proactive renewals to prevent mail flow disruption.
• Security & Access Control: Implement admin access restrictions (Exchange On-Prem client access policies and EXO Conditional Access), respond to security escalations, and participate in cyber-resilience exercises.
• Migration & Modernization: Track and manage migrations driven by protocol deprecations (e.g., EWS) and support the ongoing modernization of the messaging environment.
• Business Continuity: Maintain and routinely test Disaster Recovery (DR) procedures for messaging and collaboration services, including Teams and chat failover.

Technical Environment Context

• Hybrid Exchange: The majority of user mailboxes reside in the cloud, with a small on-prem footprint maintained for NDRs and recoverability of journaled emails to third-party solutions.
• Complex Integrations: Heavy interaction with third-party tools. Group management is treated as a source of authority outside of Exchange.
• Custom Mail Routing: Mail flow routes between Linux and the Exchange environment, with third-party products handling ingress and egress.
• Identity: Entra is consumed for identity management, though you will not be responsible for managing Entra itself.
• Automation: The environment heavily relies on PowerShell automations, Graph API integrations, and custom monitoring solutions.

Required Qualifications

• Extensive experience supporting and administering Hybrid Exchange environments (Exchange On-Premises & Exchange Online).
• Strong proficiency in Certificate and PKI management specifically related to mail relays and edge transport.
• Solid foundation in PowerShell scripting; you do not need to be a software developer, but you must be able to read, troubleshoot, and track down issues within existing complex scripts.
• Experience managing and maintaining Windows Server infrastructure.

Preferred / Bonus Skills

• Experience supporting Microsoft Copilot.
• Familiarity with Microsoft Intune and mobile device management.
• Experience working with Graph API.
• Familiarity with collaboration and ticketing tools like Jira and Slack.
