Job Overview

The Operations & Finance Coordinator is a critical support role that keeps our backend "gears" turning. Working across the Finance, Compliance, and HR departments, you will handle the tactical, detail-oriented tasks—from processing payments and Washington B&O taxes to managing NMLS licensing renewals and vendor contracts. This role is perfect for a highly organized professional who excels at managing multiple deadlines and loves maintaining clean, accurate records in a fast-paced mortgage environment. Working hours Pacific Standard Time.

Key Responsibilities

  • Accounts Payable (AP): Process vendor invoices, track expenses, and manage the weekly payment cycle.
  • Tax Compliance: Prepare data for Washington B&O taxes, excise taxes, and various state licensing fees.
  • Loan Level Accounting: Perform daily entries and assist with month-end and quarterly reconciliations.
  • Financial Reporting: Assist with the preparation of monthly/quarterly statements and help issue year-end 1098 and 1099 forms.
  • Audit Support: Gather documentation and provide stats for annual financial audits, state audits, and warehouse line renewals.
  • Payroll Support: Work closely with payroll vendor on biweekly payroll runs.
  • NMLS Management: Execute company, branch, and individual Loan Originator (LO) renewals and updates with guidance from the leadership team.
  • Regulatory Reporting: Compile data for NMLS Quarterly Reports (MCR) and annual state reports (CA, WA, OR, ID & CO).
  • Vendor & Investor Management: Maintain the contract management database; manage applications and renewals for investors and vendors.
  • Encompass Reporting: Pull routine production reports, pipeline data, commission reports, etc.
  • Personnel Admin: Coordinate 401(k) & medical benefits with 3rd party vendor, manage state employer licensing, and maintain employee records.
  • Marketing Data: Assist in pulling stats for surveys and marketing reports as requested.

Qualifications

  • Deadline Management: Exceptional ability to self-manage a calendar filled with recurring weekly, monthly, and quarterly regulatory deadlines.
  • Data Integrity & Confidentiality: A proven track record of handling sensitive financial, personnel, and payroll data with absolute discretion.
  • Excel Mastery: Advanced proficiency in Microsoft Excel is required
  • Software Proficiency: Prior experience using Encompass LOS and the NMLS Resource Center for reporting and licensing.
  • Experience: 3--5 years of experience in mortgage operations, accounting support, or compliance administration.
  • Familiarity with WA B&O taxes and DFI reporting requirements is a major plus.
  • Self-Starter: Proven ability to manage complex deadlines independently in a remote environment.

Pay: $30.00 - $32.00 per hour
