- Marketing Coordinator
smartdept. is searching for a Marketing Coordinator for a marketing services client. The ideal candidate will come with 2 years of experience. This is a part-time, fully remote, ongoing contract opportunity.
Role Overview
This Marketing Coordinator will support a small, fast-moving marketing team across multiple client accounts. The role is a mix of project coordination, content support, and operational logistics — keeping things on track, nothing slipping through the cracks, and the team focused on the work that matters.
What You'll Do
- Serve as a second set of eyes across active client projects — tracking deliverable status, deadlines, and next steps.
- Build and maintain an internal project tracker, surfacing anything at risk of slipping.
- Route assets, transcripts, call recordings, and creative briefs to the right team members.
- Pull quick tasks from larger projects and handle light updates: swapping copy, resizing assets, updating templates.
- Support and maintain monthly content calendars across clients, ensuring thought leadership posts stay on schedule.
- Manage weekly LinkedIn connection outreach using Sales Navigator — researching and queuing ~20 connection requests per week filtered by role, specialty, and relevance.
- Track outreach activity, acceptance rates, and engagement quality in a running spreadsheet.
- Compile and format monthly LinkedIn performance reports covering network growth, engagement trends, and content performance.
- Support monthly client reporting by pulling performance data and formatting summaries.
- Actively participate in AI workflow implementation — learning, testing, and helping document new tools and processes across SOPs.
What You'll Need
Education/Experience
- 2 years of experience in a marketing coordinator, project coordinator, or similar support role required.
- Experience managing multiple moving pieces across different clients or projects simultaneously required.
Skills
- Working knowledge of Canva, Google Workspace, and spreadsheet-based tracking.
- Familiarity with LinkedIn Sales Navigator or similar outreach tools.
- Strong organizational and communication skills — proactive, not reactive.
- Comfortable working async with regular syncs; Eastern time zone preferred.
Nice-to-Have Skills
- Experience working within a marketing agency or consultancy.
- Experience building or maintaining SOPs and process documentation.
AI Comfort
This team runs on AI tools and that's not changing. You don't need to be an expert, but you do need to be genuinely comfortable jumping in and figuring things out. Tools currently in use include ChatGPT, Claude, Manus, Lovable, Marblism, and Relay AI. Candidates who are curious, self-directed, and willing to learn new tools quickly will thrive here. Candidates who are hesitant around AI are not the right fit for this role.
Schedule/Details
- Approx. 5–10 hours per week to start, with potential to grow.
- Fully remote / flexible scheduling.
