About the Role
We are seeking a highly organized and proactive Head of Executive / Personal Assistant to provide comprehensive, end-to-end support to our founder and their family. This role is crucial for managing the founder's complex schedule, personal affairs, and coordinating a dedicated support team.
Key Responsibilities
- Strategic Support: Plan and prioritize tasks to align with the founder's goals.
- Team & Operations Management: Manage a team of 4, drive operational improvements, and enhance processes.
- Personal Asset Coordination: Oversee the management of personal assets including yacht, helicopter, and vehicles.
- Performance Tracking: Monitor activities, generate reports, and track plan vs. actual performance.
- Secretariat & Workflow: Organize secretariat operations and ensure timely task execution.
- Staff & Contractor Management: Hire, manage, and oversee contractors and support staff.
- Asset Operations: Manage asset maintenance, insurance, and related operational aspects.
- Document Management: Track deadlines, renewals, and submissions for critical documents.
- Calendar Management: Own and manage the founder's calendar, schedule meetings, and prepare necessary materials.
- Meeting Facilitation: Lead meetings, document minutes, track action items, and ensure follow-through.
- Financial Management: Handle budgeting, track expenses, and manage financial reporting.
- Travel Coordination: Organize complex travel arrangements (business, family, guests), including visa processing.
- Relocation & Logistics: Coordinate relocations and manage associated logistics.
- Healthcare Support: Assist with healthcare coordination for the founder and family.
- Personal Tasks: Manage various personal administrative matters efficiently.
Qualifications
- Proven expertise in advanced calendar and meeting management.
- Exceptional travel coordination skills, including multi-stop itineraries.
- Experience in vendor and contractor management.
- Proficiency in budget tracking and expense reporting.
- Strong document control and administrative management capabilities.
- Excellent written and verbal business communication skills.
- Advanced proficiency in Excel, Google Sheets, Notion, task trackers, and calendar tools.
- Demonstrated ability to build systems, trackers, checklists, and reporting frameworks from scratch.
- Required: Professional working proficiency or higher in English and Russian.
- Experience handling highly confidential and sensitive information with discretion.
- Strong skills in prioritization, operational planning, and problem-solving.
