Job description

Role Overview

A leading Tech-focused Global Growth Equity Investment Firm in Midtown Manhattan is seeking a Full-Time/Permanent Executive Assistant / Business Development Coordinator to support the Managing Director and Principal of the Strategic Business Development team.

This is a BD-first role: the primary responsibility is to keep the firm's BD programs operating with the consistency, rigor, and follow-through they require. Executive support is integral to how this works: the BD team's effectiveness depends on its leadership being well-prepared, well-organized, and able to move quickly. These two dimensions of the role are not separate functions; they are two sides of the same job.

Compensation and Benefits

  • Salary: $120,000–$130,000+ base, plus discretionary bonus eligibility.
  • Benefits:
    • 100% company-paid medical, vision, and dental premiums for employees; 90% for spouses/dependents.
    • 401(k) match at 6% with immediate vesting.
    • Lunch provided four days a week while in-office (up to $25/day via Sharebite).
    • Monthly $100 wellness reimbursement and cellphone reimbursement.
    • 15 PTO days plus one floater day.
    • FSA and commuter pre-tax benefits.
  • Schedule: 9:00 AM – 6:00 PM ET. Hybrid 4/1 schedule (Monday–Thursday in-office, Friday remote), plus 10 flex WFH days per year.

Key Responsibilities

Executive Support & Operations

  • Provide direct administrative support to the Managing Director and Principal.
  • Manage high-capacity, multi-time-zone calendars and scheduling workflows.
  • Coordinate pre-call briefing materials and ensure leadership is prepared.
  • Draft communications, including follow-up notes and executive correspondence.
  • Screen phone and email communications with sound judgment.
  • Handle expense reporting, credit card reconciliation, and CRM contact management.
  • Manage domestic and international travel logistics.

Business Development & CRM Management

  • Maintain full lifecycle tracking for GPN relationships.
  • Review and audit CRM (e.g., DealCloud) entries for accuracy.
  • Extract and assign next steps from meeting notes into Asana.
  • Prepare weekly BD preparation emails and status reports.
  • Identify opportunities to improve workflows and document SOPs.
  • Serve as a power user for CRM and project management platforms.
  • Leverage AI-enabled tools (writing assistants, internal GPTs) to increase efficiency.

Required Qualifications

  • 4–6+ years of progressive experience in project coordination, business operations, or executive assistant roles (financial services, private equity, or venture capital preferred).
  • Bachelor's degree required.
  • Proven track record of supporting senior executives and communicating with C-suite stakeholders.
  • Exceptional attention to detail and strong note-taking discipline.
  • Tech-savvy with a willingness to integrate AI tools into daily workflows.
  • Proficiency in CRM platforms (DealCloud/Salesforce), project management tools (Asana/Monday.com), and Microsoft Office.
  • Ability to manage multiple concurrent workflows with ownership and discretion.
  • Based within commuting distance to Midtown Manhattan.
