Position Summary
The HRIS Associate is a vital member of the Human Resources Information Systems team, providing Tier 1 and Tier 2 support for Workday HCM and related HR technology platforms. This role serves as the first point of contact for employees and managers seeking assistance with Workday transactions, system navigation, data maintenance, and general HRIS inquiries. More complex configuration, integration, or compliance-related issues are escalated to senior HRIS team members.
The ideal candidate combines foundational HRIS knowledge with exceptional attention to detail, strong problem-solving abilities, and a customer-focused mindset. This individual will help ensure the accuracy, integrity, and usability of HR systems supporting a global workforce of approximately 6,000 employees. We are seeking someone who is naturally curious, continuously questions opportunities for improvement, and actively seeks ways to enhance processes and the employee experience.
Key Responsibilities
HRIS Support & Case Management
- Serve as the primary contact for Workday support requests, troubleshooting and resolving Tier 1 and Tier 2 issues related to navigation, self-service transactions, employee data updates, and security access.
- Escalate complex system, configuration, or compliance-related issues to senior HRIS team members with thorough documentation and recommended next steps.
- Develop and maintain HRIS knowledge articles, FAQs, training materials, and user guides to promote self-service adoption and reduce support ticket volume.
- Provide guidance to employees and managers on Workday business processes, including onboarding, job changes, performance management activities, and employee separations.
Data Integrity & HR Transactions
- Process routine HRIS transactions accurately and efficiently, including position management, employee data changes, organizational updates, and worker lifecycle events.
- Conduct regular data audits to identify, investigate, and resolve data quality issues, duplicate records, and missing information.
- Collaborate with Payroll, Benefits, and HR Operations teams to ensure timely and accurate data management supporting downstream processes.
- Assist with data imports, mass updates, and system uploads under the direction of senior HRIS analysts.
Reporting & Analytics
- Generate standard and ad hoc HR reports to support HR Business Partners, Payroll, leadership teams, and other stakeholders.
- Assist in creating and maintaining basic custom reports and dashboards within Workday.
- Ensure all reporting activities comply with data privacy, confidentiality, and security requirements.
Testing & System Maintenance
- Participate in Workday release testing by executing assigned test scripts, validating results, and documenting findings.
- Support regression testing for configuration updates, integrations, and system enhancements.
- Assist with User Acceptance Testing (UAT) activities for new HR technology implementations and process improvements.
Process Improvement & User Experience
- Identify opportunities to improve HRIS workflows, employee-facing transactions, and support processes to enhance efficiency and user satisfaction.
- Stay informed on Workday enhancements, industry trends, and HR technology best practices, sharing insights and recommendations with the team.
- Maintain accurate process documentation and standard operating procedures, ensuring materials remain current and actionable.
- Contribute to HRIS projects and initiatives with a focus on continuous improvement, innovation, and operational excellence.
Qualifications
Required Qualifications
- Bachelor's degree in Human Resources, Information Systems, Business Administration, or a related field.
- Strong attention to detail and demonstrated ability to maintain high levels of accuracy in data entry and transaction processing.
- Proven initiative, curiosity, and problem-solving skills with a track record of identifying process improvements.
- Ability to manage multiple priorities, meet deadlines, and communicate effectively in a fast-paced remote environment.
- Proficiency with Microsoft Office applications, particularly Excel, including functions such as VLOOKUPs and Pivot Tables.
Preferred Qualifications
- 1-3 years of experience in HRIS, HR Operations, HR Shared Services, or a related HR support environment.
- Experience using Workday HCM in either an end-user or support capacity.
- Exposure to HRIS data uploads, custom reporting, and basic system administration activities.
- Experience supporting global or multi-entity organizations.
- Familiarity with HR compliance requirements, including GDPR, ACA, OFCCP, and related data management practices.
- Experience using ticketing, case management, or service desk platforms.
