Job description

Why You Should Apply

Are you a detail-obsessed, process-driven professional who thrives in fast-paced construction environments? Do you love turning chaos into order and delivering clean, accurate documentation under tight deadlines? If you're ready to take ownership of high-impact projects and grow your career with a company that values precision and initiative, this role is for you.

We're looking for a Project Coordinator who can hit the ground running—someone who understands construction documentation inside and out, knows their way around Bluebeam, and isn't afraid to take tasks off a Project Manager's plate and run with them.

About the Role

You will collaborate closely with the Project Management team to ensure every project meets its goals, deadlines, and quality standards. Your responsibilities will include providing essential support for successful project execution by accurately and efficiently handling tasks, tracking deliverables, and responding to requests with precision and urgency.

Key Responsibilities

  • Support the Project Manager by tracking deliverables, managing project documentation, and ensuring all tasks are completed accurately and on time
  • Assist in the planning and implementation of projects, including counts through Bluebeam, pulling spec sheets, and compiling submittals
  • Work with vendors to obtain pricing and lead times; create and maintain Lead Time Matrix
  • Perform Order Management responsibilities including placing purchase orders, monitoring order progress, and tracking shipping dates against project due dates
  • Provide regular project status updates to the responsible Project Manager via status reports
  • Manage and resolve customer issues efficiently; oversee project Punch Lists by identifying solutions, coordinating with internal teams, and ensuring all outstanding items are addressed accurately and in a timely manner
  • Compile project closeout documentation including warranty booklets, record submittals, and as-builts
  • Support other teams and projects as needed

Technical Requirements

Construction Document Proficiency

Deep working knowledge and ability to confidently read, interpret, and extract information from architectural plans, interior design plans, reflected ceiling plans, electrical/lighting plans, schedules, legends, details, and typical notes. Must understand how to navigate plan sets efficiently, cross-reference sheets, and reconcile discrepancies.

Bluebeam Revu

Proficiency is required—this is the primary production tool used daily for counts, markups, overlays, and takeoffs.

Lighting Knowledge

Working familiarity with lighting systems and basic electrical concepts, including emergency lighting requirements, lighting circuitry concepts, and comfort discussing lighting components and documentation (spec sheets, cut sheets, schedules, control intent, etc.).

Required Skills & Qualifications

  • 2–4 years of experience in a Project Coordinator, Project Administrator, or Project Engineer (support) role within construction, architecture, interior design, electrical contracting, or lighting agencies
  • Strong ability to multitask and self-manage, ensuring deadlines and project timelines are met efficiently
  • Highly detail-oriented with a strong ability to identify inconsistencies and maintain accuracy in all work
  • Clear and effective communicator, skilled in collaborating with team members, external partners, and clients
  • Resourceful problem-solver who can anticipate challenges, ask the right questions, and implement effective solutions
  • Takes initiative, identifies process inefficiencies, anticipates needs, proposes solutions, and follows through with ownership and accountability

Preferred Qualifications

  • Bachelor's Degree (or equivalent)
  • Experience with Google Suite (Sheets)
  • Hands-on experience supporting submittals, record documentation, and coordination workflows
