About the Client

The client is a technology-enabled commercial real estate (CRE) appraisal firm headquartered in New York City. Serving top financial institutions - including Fortune 500 companies, major banks, and private lenders --- combines expert appraisers with proprietary valuation software to deliver fast, accurate, and compliant appraisal reports across all 50 U.S. states and all commercial asset types, including multi-family, office, retail, industrial, and mixed-use properties.


Role Overview

This role plays a critical role in the client's bid pipeline operations. This position is responsible for managing the end-to-end lifecycle of inbound appraisal bid requests (RFPs) from initial intake and CRM entry through appraiser coordination, bid submission, and job conversion upon client acceptance. The ideal candidate is highly organized, detail-oriented, and comfortable working across multiple tools and communication channels in a fast-paced, deadline-driven environment.


Responsibilities

Bid Intake & Backtracking

  • Monitor inboxes for incoming RFPs and new bid requests from clients.
  • Review and backtrack leftover, unplaced, or missed bids from the previous shift and ensure they are actioned and communicated to the appropriate client or requester in a timely manner.

Bid Processing & CRM Management

  • Accurately encode RFP details including scope, property information, pricing parameters, and turnaround requirements into Salesforce.
  • Maintain real-time Salesforce records, updating bid statuses as they progress through pipeline stages (submitted, pending, won).
  • Ensure all client profiles, bid details, and project data in Salesforce are complete, accurate, and up to date.

Appraiser Coordination & Bid Submission

  • Share new RFPs with the appropriate appraisers and Managing Directors (MDs) via designated Slack channels.
  • Collect bid amounts and turnaround times from appraisers and MDs, then compile and submit bids to clients within required deadlines.

Win Processing & Job Conversion

  • Upon bid acceptance, process the win in Salesforce and review the client-provided Engagement Letter for all relevant property and deal information.
  • Update all required fields in Salesforce and convert the accepted bid into a Job, ensuring appraisers receive accurate job details on their end.
  • For the Engagements Team workflow: prepare and send Engagement Letters to clients for confirmed jobs, and process job setup in Salesforce accordingly.

Communication & Reporting

  • Maintain clear and professional communication with clients, appraisers, and internal teams via Gmail and Slack.
  • Report issues, delays, or recurring process problems to the supervisor in a timely manner.
  • Assist with ad-hoc administrative and coordination tasks as assigned.

Required Skills & Qualifications

Technology:

  • Proficient in Salesforce CRM data entry, status tracking, client management, and job conversion
  • Proficient in Gmail for inbox and email management across multiple accounts
  • Comfortable using Slack for internal and client-facing communication
  • Proficient in Adobe Acrobat for reviewing and managing documents (Engagement Letters, contracts)
  • Comfortable navigating client portals for bid submission

  • Strong attention to detail and accuracy in data entry and CRM management
  • Excellent organizational and time management skills; able to prioritize and manage a high-volume workload
  • Proactive and self-directed; able to identify and resolve discrepancies without waiting to be asked
  • Reliable and consistent, able to perform backtracking and follow-up independently at the start of each shift
  • Clear and professional written communication skills in English
  • Team player with a collaborative approach to cross-functional coordination

Experience:

  • 2--4 years of relevant work experience in operations, administrative support, CRM coordination, or a similar role
  • Prior experience working with U.S.-based clients preferred
  • Experience in commercial real estate, appraisal operations, or financial services is a plus but not required
