We are looking for an Executive Assistant that will provide high-level support to our CEO and C-suite team, ensuring seamless coordination of schedules, meetings, and communications. This individual will play a pivotal role in maintaining executive focus and organizational flow, with responsibilities spanning from managing sensitive information to facilitating key events and initiatives. With visibility across departments and involvement in high-level initiatives, this individual will have a direct impact and influence on the rhythm and success of the organization.
This remote position is open to individuals who live in, or are open to relocating to, the following states: Arizona, Delaware, Florida, Georgia, Kentucky, Nevada, New Jersey, New York, North Carolina, Ohio, Rhode Island, South Carolina, Tennessee, Texas, Virginia, and Washington.
This position requires travel to our headquarters in Melville, NY up to 12 times per year to support leadership and high-priority meetings. Additional travel may be required based on leadership and company needs. We reimburse reasonable and necessary travel expenses, and you're also welcome to work on-site anytime beyond these visits -- our doors are always open.

- Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m. EST
- Base Salary: $83,000 -- $103,000 per year
Responsibilities
- Organize and prepare for meetings, including gathering documents, attending to logistics, capturing meeting minutes, and following up on assigned action items.
- Keep the CEO apprised of time-sensitive and priority issues and help ensure appropriate follow-up.
- Complete a variety of special projects, including preparing PowerPoint presentations, special reports, spreadsheets, and meeting agenda material.
- Respond to and help prioritize meeting invitations, phone calls, messages, and other information flowing to the executive(s).
- Prepare, reconcile, and submit expense reports for C-suite members.
- Maintain the highest degree of confidentiality, including management of sensitive records and documents for company executives.
- Draft, review, and send communications on behalf of the CEO and other C-suite members.
- Plan, organize, and execute board meetings, leadership meetings, office events, and other in-person company activities.
- Oversee corporate giving initiatives and manage the corporate giving budget.
- Serve as back-up and support for NY Office Administrator in daily office activities, ensuring facilities are well-maintained and supplies are stocked.
Requirements
- Bachelor's degree in Business or a related field (preferred).
- A minimum of 5 years of experience supporting a senior executive or team in a fast-paced environment.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and comfortable with collaboration tools like Slack or Teams.
- Excellent written and verbal communication skills with the ability to convey information clearly and professionally.
- Strong time-management skills with a proven track record of meeting deadlines.
- Exceptional organization skills, with a knack for juggling multiple priorities and maintaining focus under pressure.
- Proactive, detail-oriented self-starter who is resourceful and adept at solving problems.
- Collaborative team player with a friendly demeanor, capable of building productive working relationships at all levels of the organization.
- Energetic, adaptable, and eager to tackle new challenges, projects, and ideas.
- Strong judgment, effective prioritization skills, confidential, and ability to make well-informed decisions.
