As a Facilities Coordinator on the Lender Identified Maintenance team, you will be responding to and fulfilling requests submitted by the Lender as well as handling internal work orders assigned within the Asset Management team. Such requests include landlord‐responsibility repair and maintenance items or replacement requests. Other requests include routine property maintenance items needed to be addressed within the common areas of our properties, repair or maintenance items identified after annual lender inspections, and repair items identified as needing to be completed within a specified timeframe upon close of a portfolio. It is the duty of the Facilities Coordinator to identify and prioritize the various types of incoming work orders and to document all pertinent activity. In addition, the Facilities Coordinator is responsible for responding to all repair and maintenance related correspondence in addition to participating in projects geared toward further improving current team processes. To be successful in this role, one must be able to communicate clearly and concisely within the team as well as with our tenants, lenders, and vendors, to think critically and be able to make informed decisions, and to be organized with the assigned workload.

Pay range: $26-30/hr. ($54k-62.4k)
Location: 100% Remote.
Responsibilities:
- Respond to incoming repair and property maintenance‐related requests within 24 hours and provide updates to Lender with the status of repair(s).
- Coordinate the completion of the repairs with the Tenant's store team.
- Utilize the existing tracking system to create cases for each repair and maintenance item and inspection request to log the progress or status updates and completion of each item.
- Source vendors, send out request for proposals, obtain at least three proposals, compare, and analyze scope of work with total cost, and determine next steps based off the available information.
- Submit expense approval requests for repairs exceeding $3,500. Such requests for approval include the analysis behind the proposed solution, vendor comparison, etc.
- Aid in the asset onboarding process, assisting with items that need to be set up as new properties are acquired (i.e. immediate repairs, warranty transfers, PCR reviews).
Requirements:
- Work experience as facilities coordinator or similar role.
- Work experience with vendors, contractors, and property managers.
- Strong prioritization, analytical and organizational skills.
- Hands on experience with facilities management software a plus.
- Microsoft Office (Excel, Word, etc.) and Google Suite skills.
- Strong organizational, logistical, and administrative skills.
- Strong interpersonal skills, customer service skills and written/verbal communication skills.
- Yardi experience is a plus, but not required.
Expectations for this role:
- Complete a thorough review when a work order comes in to determine the priority level of the request. If there is an emergency, the work order must be flagged as high priority and addressed immediately.
- Prioritize your cases and schedule your days to ensure you are working on the most important items.
- Communicate if delays in urgent items occur, if your personal caseload is unmanageable, or if additional guidance is needed.
- Develop and cultivate relationships within the team in addition to our tenants and vendors.
- Take initiative, think critically, and creatively solve problems. Ask questions when necessary but operate with a level of autonomy.
- Must be organized, efficient, and able to work independently as well as part of a team.
- Work with a healthy sense of urgency with the assigned workload.
- Consistently reassess and improve upon the work order process flow.
- Demonstrate a positive "can‐do" attitude and eagerness to learn.
