As a part of the CU Anschutz Office of the Registrar team, the Intermediate Registrar Specialist serves as a key point of contact for the Office of the Registrar and manages core registration and student records functions. This position is responsible for maintaining the integrity and accuracy of student academic records, facilitating accurate and efficient registration and enrollment processes, and providing high-quality customer service to students, faculty, and staff.
Key Responsibilities
Student Record Management and Enrollment Processing (40%)
- Independently processes and reviews a variety of registrar forms verifying accuracy, compliance, required approvals, and deadlines.
- Coordinates batch enrollment requests with schools, colleges, and programs, resolving errors through research and consultation from Registrar leadership as needed.
- Validates and audits student record data including enrollment, tuition classification, and academic program configuration, using system tools and reports.
- Assists with complex duplicate record analysis and resolution.
Customer Service (25%)
- Serves students, faculty, and staff, via phone, email, in person, and virtual platforms.
- Provides accurate guidance on registration-related policies and procedures, escalating complex issues when appropriate.
- Demonstrates accountability for timely and professional service outcomes.
Transcript Orders, Enrollment Verifications, and Degree Verifications (20%)
- Independently manages transcript orders and resolves exceptions within the transcript processing system.
- Maintains documentation to support audit and compliance requirements.
- Processes enrollment and degree verifications while ensuring compliance with FERPA and service-level standards.
Administrative and Operational Support (15%)
- Uploads and indexes documentation into the imaging system to ensure accurate record-keeping.
- Supports data validation for residency/tuition classification, the catalog, graduation processing, and curriculum records.
- Uses reporting tools to identify and address data gaps or outstanding academic requirements, such as missing grades.
- Collaborates with CU campus registrar offices and the CU system office to support shared systems and cross-campus processes.
Qualifications
Minimum Qualifications
- A bachelor's degree from an accredited institution of higher education.
- Substitution: A combination of education and related technical/military/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis, but not for the specific experience.
- One year of professional level experience in any of the following areas: Registrar, records, enrollment, or academic services.
- Experience delivering customer service in an academic, student services, or similarly complex environment.
Preferred Qualifications
- Experience working in a Registrar's Office.
- Experience working with graduate and professional students, especially those in health-related programs.
- Experience working with Oracle PeopleSoft Campus Solutions or other student information software.
- Experience working with Federal and State regulations.
- Experience maintaining confidential records.
- Experience with data entry.
Work Location and Conditions
- Work Location: Hybrid (minimum of 3 days per week on campus).
- Consistent availability required during public-facing office hours of 9:00 a.m. to 4:00 p.m.
- Occasional evening or weekend work may be required.
