Training Program Coordinator

Job Summary:

The Training Program Coordinator is primarily responsible for coordinating the General Surgery Residency and its trainees, including rotating residents and medical student education. This role encompasses recruitment, curriculum, schedules, business activities, finances, budget, and policies and procedures. The coordinator provides essential communication and networking for the effective functioning of a surgical training program, representing the programs on behalf of the Graduate Medical Education (GME) Office, the School of Medicine, and the University of Colorado.

Key Responsibilities:

Duties and Responsibilities (75%)

  • Trainee Recruitment: Coordinate all aspects of the annual trainee recruitment process, including developing and maintaining informational materials, monitoring applications, responding to inquiries, scheduling interviews, coordinating faculty interviewers, and managing interview results for the Match process.
  • Trainee Data and Recordkeeping: Manage all required electronic recordkeeping for trainees, including ERAS (Electronic Residency Application System), OnCall (Amion & Qgenda), and MedHub. Maintain hard copy and electronic files, respond to requests for training confirmation or letters of reference, and prepare reports for ACGME studies, program reviews, audits, etc.
  • Website and Materials Management: Manage and maintain the education pages of the Surgery website and program materials (Excel tracking tools, PowerPoint presentations, etc.).
  • Administrative Support: Provide administrative and operational support to the Director of Education and faculty.

Fiscal Management (10%)

  • Manage all financial aspects of training programs, including budget preparation, administration, and monitoring. Oversee revenues and expenditures from multiple funding sources (hospital support, GME funding, departmental funds, grants, contracts, and gift funds).
  • Maintain expertise in university and departmental administrative systems for financial management and program operations, including accounting, data processing, purchasing, human resources, facilities management, and statistical reporting.

Policy Coordination and Compliance (15%)

  • Administer pertinent State fiscal policies, UCDSOM rules and procedures, and State/Federal laws applicable to the training programs.
  • Administer pertinent Graduate Medical Education policies, including rules and regulations from the Accreditation Council for Graduate Medical Education (ACGME).
  • Coordinate program and fiscal policies related to training site locations, including the University of Colorado Hospital (UCH), Children's Hospital Colorado (CHCO), Denver Veteran's Administration Medical Center (VAMC), Denver Health Medical Center (DHMC), and Presbyterian St. Luke's Medical Center (PSL).
  • Serve as a member of the Academic Council and The Research Committee, and represent the programs on task forces and committees as requested.
  • Attend and coordinate related meetings and functions for the Divisions, including faculty meetings, M&Ms, and educational conferences.

Qualifications:

This is an open-rank position, categorized as Entry, Intermediate, or Senior Level based on experience.

Minimum Qualifications:

  • Entry Level: Bachelor's degree in a related field (e.g., education, psychology, business, public administration, health care, communications, finance, etc.) from an accredited institution.
  • Intermediate Level: Bachelor's degree in a related field + 1 year of professional-level administrative experience.
  • Senior Level: Bachelor's degree in a related field + 2 years of professional-level administrative experience.

Preferred Qualifications:

  • 2+ years of progressive experience in graduate medical education, academic services, healthcare services, higher education, or a related field.
  • Demonstrated experience leading complex academic or student-facing operations.
  • Knowledge of medical student information systems (MedHub, Amion, ResQ, Firefly, WebAds, ERAS).

  • Ability to foster a respectful and professional environment and collaborate effectively.
  • Strong organizational skills with the ability to plan, prioritize, and ensure completion of tasks.
  • Proficiency in Microsoft Suite (Word, Excel, Access, PowerPoint, Outlook), ERAS, NRMP, QGenda/Amion, and MedHub, with adaptability to new electronic programs.
  • Ability to develop and manage budgets and carry out fiscal responsibilities.
  • Understanding and application of regulatory requirements.
  • Excellent interpersonal skills, with the ability to work effectively with trainees and staff in high-volume, stressful environments.

  • Entry Level: $39,520 - $50,482
  • Intermediate Level: $40,997 - $54,936
  • Senior Level: $44,321 - $56,376
