Membership Data Coordinator (Contract Position)
Overview
Civitan International is seeking a highly detail-oriented Membership Data Coordinator to support ongoing membership data management and reporting. This contract role is ideal for someone who takes pride in accuracy, follows processes consistently, and can manage routine tasks with a high level of reliability and care.
This is a flexible, remote contract position where work is completed independently. The ideal candidate is self-directed, responsive, and able to manage their own workflow while consistently meeting established deadlines and turnaround expectations.

Key Responsibilities
- Accurately enter, update, and maintain member records in Civitan's CRM database
- Process member, club, regional and international data forms, changes and updates
- Ensure a maximum 48-hour turnaround time on member data entry and processing requests
- Review and verify data for accuracy, completeness, and consistency; make corrections as needed
- Maintain and organize digital records, ensuring data is up to date and properly stored
- Generate monthly, quarterly, and ad-hoc reports related to membership activity
- Assist with basic data analysis and reporting using Excel
- Handle sensitive member information with confidentiality and care
- Support additional digital and administrative tasks as assigned
Qualifications
- Exceptional attention to detail and a strong commitment to accuracy
- Proven experience with data entry, administrative support, or database management
- Strong proficiency in Microsoft Excel
- Ability to learn and adapt to new software systems quickly
- Strong written communication skills, including clear and accurate spelling and grammar
- Strong organizational and time management skills with the ability to meet deadlines consistently
- Ability to follow defined processes while identifying and escalating potential issues
- Clear communicator, especially when resolving discrepancies or asking clarifying questions
- Comfortable working independently in a remote, deadline-driven environment
Preferred (but not required)
- Prior experience in a nonprofit or membership-based organization
- Familiarity with membership databases or association management systems
What Success Looks Like
- Member data is consistently accurate, complete, and up to date
- Membership changes are processed within 48 hours, excluding weekends, without follow-up or rework needed
- Errors or inconsistencies are caught early and proactively addressed
- Reports are delivered on time and can be trusted for decision-making
- Processes are followed consistently, with thoughtful questions raised when something doesn't look right
- The team can rely on this role as a steady, dependable part of day-to-day operations
Position Details
- Compensation range is based on experience
- Contract position (independent contractor; not a benefits-eligible role)

- 100% remote
- Estimated 5--10 hours per week, may vary based on quarterly cycles
- Flexible schedule
- Contractor is expected to provide their own computer and reliable internet connection
Pay: $22.00 - $28.00 per hour
