About the Role
We are looking for a highly organized and proactive Project Recruiter & Scheduling Coordinator to support participant recruitment and coordination for research studies and project initiatives. This role focuses primarily on identifying participants, managing outreach, and coordinating scheduling logistics across multiple projects.
This role is ideal for someone who enjoys working with people, managing logistics, and keeping complex schedules organized.
This role has variable workload and hours from week to week based upon project timelines. Periods of high volume and tight deadlines may be followed by slower periods. We need someone who thrives in a fast-moving environment and enjoys creating organizational efficiencies.
Responsibilities:
- Review and vet research participants based on their response to the screening questionnaire.
- Communicate with potential participants via email or other channels.
- Manage participant screening, confirmations, and scheduling logistics.
- Coordinate calendars across multiple team members and study sessions.
- Maintain clear communication with participants before, during, and after scheduled sessions.
- Track recruitment progress and maintain participant records.
- Adapt quickly to changing schedules, participant availability, and project priorities.
- Ensure a positive and professional experience for participants.
- Provide support across projects as needed.
Qualifications:
- Experience with recruitment, scheduling, participant coordination, or data management is preferred.
- Strong written communication skills for participant outreach and coordination.
- Ability to manage multiple calendars.
- Highly organized with strong attention to detail.
- Ability to manage multiple tasks and shift priorities in a fast-paced environment.
- Experience using Google Sheets to monitor recruitment progress.
- Comfort using AI tools (e.g., ChatGPT or similar platforms) to support drafting communications or workflow organization.
- Agency or research recruiting or project coordination experience is a plus.
What to Expect:
- Remote and flexible work.
- ~10-30 hours per week based on project workload and inflow; some weeks will reach 40 hours.
- An opportunity to work on dynamic projects with a collaborative team.
- Occasional need for weekend or evening work.
- Offers a competitive compensation package, ranging from $28-$32 per hour, dependent on level of experience.
