Position Details
Gluck Bluestone is seeking a Senior Bookkeeper to own the Firm's day-to-day accounting operations and help us scale cleanly as we grow. The Firm's work is predominantly hourly, complemented by several larger contingency engagements. As such, this role requires fluency in both billing and revenue models is essential. This role sits between our junior bookkeeper and our senior finance professional: you will oversee and support the junior bookkeeper's work, take direct ownership of the full-charge bookkeeping function, and partner with our senior finance lead on month-end close, financial reporting, and process improvements. This role will also closely partner with our external Accounting firm that handles our year-end audit and tax function. This is a fully remote position open to candidates anywhere in the United States.
Key Responsibilities:
Position responsibilities include but are not limited to the following:
Trust & Contingency Accounting
- Trust Accounting and IOLTA: Maintain IOLTA and other trust accounts in full compliance with applicable state bar rules; perform monthly three-way reconciliations (bank, client ledger, and trust ledger) and resolve discrepancies promptly.
- Contingency Case Accounting: Track advanced client costs, manage settlement disbursements and lien payoffs, maintain accurate case-level cost ledgers, and ensure proper revenue recognition on contingency recoveries in coordination with the senior finance lead.
Full-Charge Bookkeeping
- Day-to-Day Operations: Manage AP and AR, vendor onboarding and 1099 tracking, expense management, intercompany and intra-office allocations, bank and credit card reconciliations, and general ledger maintenance.
- Billing and Collections Support: Coordinate with the billing function on prebill review, invoice generation, write-offs, client trust applications, and collections tracking; ensure clean handoffs between the Clio billing workflow and the QuickBooks general ledger.
- Payroll Coordination: Coordinate semi-monthly or bi-weekly payroll with the Firm's payroll provider, including review of timekeeping inputs, benefits deductions, reimbursements, and year-end W-2/1099 reconciliation.
Reporting & Operations
- Month-End Close and Reporting: Lead the monthly close process, prepare standard journal entries and accruals, and produce monthly financial statements and management reports for the partners and senior finance lead.
- Multi-Office and Multi-State Operations: Maintain books across the Firm's NYC and DC offices, including allocation of shared expenses and tracking of state-specific tax and registration obligations.
- Supervision and Mentorship: Review the work of the junior bookkeeper, provide day-to-day guidance, and help build scalable processes and documentation as the Firm grows.
- Systems and Process Improvement: Continuously improve the integration between Clio and QuickBooks, identify automation opportunities, and help maintain a clean, audit-ready set of books.
Qualifications:
- 5--10 years of bookkeeping experience, with at least 3--5 years in a law firm environment.
- Hands-on experience with IOLTA / trust accounting and monthly three-way reconciliations.
- Direct experience with contingency case accounting, including advanced client costs, settlement disbursements, lien tracking, and revenue recognition on contingent recoveries.
- Strong working knowledge of QuickBooks (Online or Desktop) and Clio (Manage and/or Clio Accounting / Clio Payments).
- Full-charge bookkeeping experience: AP/AR, payroll coordination, month-end close, and preparation of monthly financial statements.
- Demonstrated ability to work independently and deliver consistently in a fully remote environment.
- Excellent attention to detail, organization, and discretion handling confidential financial and client information.
- Clio Certified Consultant and/or QuickBooks ProAdvisor certification preferred.
- Experience supporting firms with multi-office and multi-state operations preferred.
- Familiarity with New York and/or D.C . bar trust-account rules preferred.
- Associate's or Bachelor's degree in accounting, finance, or a related field preferred.
Benefits:
- Annual base salary range: $75,000--$90,000. Compensation is commensurate with experience and certifications, with room above the range for an exceptional candidate with deep contingency-accounting and Clio expertise. The role is also eligible for a discretionary, performance‑based bonus.
