Job Description

We are seeking a highly organized and proactive Administrative Assistant to provide remote administrative support to a Canadian client. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to manage multiple administrative tasks in a fast-paced environment.

Responsibilities

  • Provide day-to-day administrative support to internal teams and management.
  • Manage calendars, schedule meetings, and coordinate appointments across multiple time zones.
  • Prepare, proofread, and format correspondence, reports, presentations, and business documents.
  • Respond to emails, manage inboxes, and prioritize communications.
  • Maintain accurate records, databases, and e-filing systems.
  • Perform data entry and capturing and ensure information is accurate and up to date.
  • Coordinate meetings, prepare agendas, take meeting minutes, and follow up on action items.
  • Conduct online research and prepare reports or summaries as required.
  • Assist with document management and administrative process improvements.
  • Liaise professionally with clients, vendors, and internal stakeholders.
  • Support ad hoc administrative projects and operational initiatives.

Qualifications

  • 2-4 years of experience as an Administrative Assistant, Executive Assistant, Office Administrator, or similar role.
  • Previous experience supporting Canadian businesses or clients is highly preferred.
  • Excellent written and verbal English communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Experience using Google Workspace, Microsoft Teams, Zoom, and other virtual collaboration tools.
  • Strong time management skills with the ability to prioritize multiple tasks and deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Experience using CRM systems or project management tools is an advantage.
  • Ability to work independently in a fully remote environment.
  • Ability to work in the Canadian time zone.
