Job Summary
We are seeking a highly organized and proactive Executive Assistant to support the Founder of a dynamic, growth-oriented organization. This remote role offers the opportunity to be at the heart of high-responsibility operations, providing essential administrative and project coordination support. As the right hand to our founder, you will manage complex calendars, facilitate communication, oversee project timelines, and ensure smooth daily operations---empowering leadership to focus on strategic growth and innovation.
Duties
- Manage and optimize the founder's calendar using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Coordinate projects by tracking deadlines, preparing materials, and liaising with team members to ensure timely completion of tasks.
- Handle comprehensive office management duties including filing, data entry, bookkeeping using QuickBooks, and maintaining organized digital and physical records.
- Provide executive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and preparing reports.
- Facilitate event planning for virtual or in-person events---handling logistics, invitations, venue arrangements, and follow-up communications.
- Manage communication channels via multi-line phone systems with professional phone etiquette; screen calls and respond on behalf of leadership when appropriate.
- Oversee personal assistant responsibilities including personal scheduling, errands coordination, and confidential information management to support the founder's personal needs.
Skills
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a remote setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and familiarity with DocuSign for document signing.
- Strong experience in event planning, project coordination, office management, bookkeeping (QuickBooks), and data entry.
- Excellent written and verbal communication skills with attention to detail for proofreading and transcription tasks.
- Demonstrated ability to handle clerical tasks such as filing, front desk duties (virtual or physical), customer service interactions, and managing multi-line phone systems.
- Computer literacy across various platforms with quick adaptability to new tools or software as needed.
- Previous experience as an executive assistant or personal assistant supporting high-level leadership in fast-paced environments.
